The view of a tidy and neat working space
In order to apply the 5S model, officers and staff of Certification Department have established 3S performance criteria since the end of 2016. The criteria includes classification of necessary and unnecessary objects, principles of oganizing and arranging necessary items, appropriate identification mark and hygiene regulations. The department also developed hygiene assessment criteria and carried out a cleaning day, as well as mmaintaining 3S performance criteria and conducting periodic assessment of 5S activities once a month.
Arranging documents tidily and properly is the rountine task of Certification Department
As the 3S criteria was developed since the end of 2016, so far, the staff of Certification Department have maintained to perform the following tasks:
5S Kaizen is the fundamental to implement a quality assurance system starting from the view of: If the staff work in a healthy, clean, airy and comfortable environment, they will feel more relaxed, the productivity will be higher and the application of quality management system will be more effective. The application of 5S Kaizen in the office plays a very important role because it creates a logical and unified management.

"S1- Screening": Classifyying objects according to the necessary or unnecessary level, assessing the frequency of object usage (rarely, sometimes, often) in order to remove unused objects, arranging objects and records (already classified) in a logical and scientific way.
"S2 - Sorting": Sorting is carried out in the principle of priotising the essential items in each defined region, like wworking area, storage, stationery, printing and hygiene instrument area.
Based on the established principles, the Certification Department has regulated how to sort each type of document and document storage region (for both hard copy and soft copy). In order to track, use and keep records conveniently, the certification records have been classified, labeled and sorted according to the principle "Easy to find, easy to see, easy to take and easy to return".

"S3 - Clean": This task has been regulated specifically by Certification Department through daily, weekly and monthly "duty card". Accordingly, cleaning the room, personnel equipment, office equipment, etc. are assigned clearly to each officer.
After the awareness training and applying 5S model to all staff, the working environment of Certification Department has been significantly improved. Each individual desk is always tidy, neat and clean. Records are neatly arranged, easy to access and stored as regulated.

Before finishing a working day, all members of Certification Department maintain the habit to tidy up their desks, return the documents and records to the regulated area.
The 5S application is the first important improvement of Certification Department in arranging the documents and records, hence, the habit of classifying and priotizing tasks was developed. This habit requires staff to clearly define which task need to be solved first to make a plan and allocate the time for each task.
As an organization providing reliable science and technology services for all stakeholders, the development and application of 5S model in Certification Department has contributed significantly to develop a continous improvement spirit for all staff in the office. As a result, the team spirit was developed to continuously improve the professionalism, accuracy and reliability of certification activities. The awareness of 5S model has been spread throughout other departments of VinaCert.
